Time off and leave
Set up vacation, sick, and personal leave in Clox: how your crew request time off from their phone, how managers approve it, leave quotas, and the balance export.
Clox handles time off end to end. Your crew request vacation, sick, or personal days from their phone, you approve or decline from the web app at app.getclox.com, and approved days count against each person's yearly balance. Here's how the whole thing works.
How a worker requests time off
A worker opens the Time off page on their phone and taps Request time off. They pick a type, a From and To date, and can add an optional note for you.
- Vacation
- Sick
- Personal
Each type shows how many days they have left for the year right in the picker. When they submit, you get a push notification and the request shows up under your Pending approvals on the Team page. Their own Time off page also has a Pending and a History list, so they can see where each request stands.
Approving or declining
Go to Team and look under Pending approvals. Time-off requests sit in their own Time off section, above shifts. Each row shows the person, the dates, the type, the day count, and any note they left.
- Open Team in the web app.
- Find the request under Pending approvals, in the Time off section.
- Click Approve or Decline.
Leave balances and quotas
Every org starts with the same yearly defaults, in calendar days: 20 vacation, 5 sick, and 3 personal. Remaining days are the quota minus what's already approved for the year.
To change someone's numbers, open Team, tap the employee, and scroll to the Leave quotas section in their edit panel. Set Vacation, Sick, or Personal to a custom number. Leave a field blank to fall back to the system default. The same panel has a Request time off toggle if you ever need to turn the feature off for one person.
Seeing approved leave in a report
Open Reports, then under Analysis & audit download Leave balance (CSV). For the date range you pick, it lists each person's used, quota, and remaining days for vacation, sick, and personal, plus how many company holidays fell in that window. Holidays come from your holiday list in Settings.
