Worksite location consent template

Many states require employers to give workers written notice — and in some cases written consent — before using location technology in the workplace.

Clox is built to keep this simple. It checks an employee's device location only at the moment they tap Clock In, solely to confirm they are at a worksite you have assigned. It does not track location in the background, after clock-out, or at any other time. When a worker is assigned to a worksite, the clock-in location and its accuracy are saved with that time record so you can verify the punch.

Use the template below to give your workers clear notice and record their acknowledgement. Copy it onto your company letterhead, fill in the bracketed fields, and have each worker sign before you enable worksite verification for them.

This template is a starting point, not legal advice. State and local rules vary — confirm the exact requirements for where your crew works with an employment attorney.

[Employer legal name] uses Clox, a time-tracking application, to record work hours. As part of clocking in, Clox may check your mobile device's approximate location to confirm you are at an assigned worksite.

What this means:

  • Your location is checked only at the moment you tap “Clock In.”
  • It is used solely to verify worksite presence — not to monitor your movements.
  • Clox does not track your location continuously, in the background, or after you clock out.
  • The location captured at clock-in — and how accurate the reading was — is saved with that time record, so your employer can confirm where you clocked in.
  • Location verification applies only at worksites your employer has assigned to you. If you are not assigned to a worksite, no location check occurs.
