Inviting your team
How email invitations work, what your employees see, and how to assign roles.
Sending an invitation
- Go to Team
- Click + Invite employee at the top of the Team page
- Enter their email address and display name (e.g., "Alex")
- Pick their role: Employee or Manager
- Click Create invitation
Clox emails the person an invitation as soon as you create it. It also gives you a shareable signup link you can copy and send any way that works: text, a chat app, or in person. The link is single-use and expires in 7 days.
What employees see
When they click the invitation link they're asked to set a password (their email is pre-filled). After they sign in, they land on Today, the same page you see, just without manager features. Their display name and role are already configured.
Manager vs employee roles
Employees can clock in/out, view their own timesheet, request leave, ask for corrections to their own past shifts, and see their schedule. They can't see anyone else's hours or settings.
Managers can do everything employees can, plus: see all team members' hours, approve timesheets, review and approve shift-correction requests, edit shifts, set hourly rates, manage projects/worksites/schedules, run reports, and access billing.
Picked the wrong role, or someone got promoted later? Change it any time. Open their row on the Team page and switch Role. (You can't change your own, and the organization owner always stays a manager.)
Resending or revoking an invitation
- On Team, pending invitations sit at the top of the Roster card. The Copy link, Resend, and Revoke buttons sit right on the row
- Resend makes a fresh link with a new 7-day expiry. Clox shows you the new link to copy and share; it doesn't send another email, and the old link stops working
- Revoke if you invited the wrong person (or the wrong email)
