What Paychex Flex Time offers, according to Paychex

The Paychex time and attendance page, read September 8, 2026, presents Paychex Flex Time as its time and attendance module. Employees clock in and out with the Paychex Flex mobile app on iOS or Android, a kiosk app, a physical time clock, or a timesheet. Among the capabilities the page lists are "Geolocation" and "Geofencing." The page also mentions iris clocks and facial recognition on its hardware time clocks.

Geolocation and geofencing appear as items in a capability list. The page does not say how a punch outside a geofence is handled, and it does not say which package includes geofencing. Everything past those two words has to come from a rep or from the product documentation you get as a customer.

In time clock software generally, geolocation means recording where a punch happened, and geofencing means comparing that location against a defined area. Whether Paychex uses the words that way, which punch methods the features apply to, and what happens after the comparison are questions for your rep, because the page does not answer them in the lines we read.

What the public page does not say

Two things a crew owner needs are not on the page. We are describing silence, and the answers may be good ones; they are simply not published there.

• How an off-site punch is handled. The page does not say whether a worker outside the geofence is stopped from punching, or whether the punch is accepted and the location shown to a manager afterward.
• Which package includes it. The page does not say whether geofencing comes with every Paychex Flex Time setup or is part of a higher package.

Four more points matter to a field crew and are not answered in the lines we quoted. They are in the question list below.

• The radius options, including the default and whether each site can have its own.
• Whether geofencing is a per-worker setting or applies to everyone on the module.
• Whether the Paychex Flex app reads location between punches or only at the punch.
• What the app does with a punch made while the phone has no signal.

If a rep tells you "yes, it blocks" or "yes, it only reads location at the punch," ask to see it on a phone in the demo. A capability list and a behavior you can build a crew policy around are different things, and the demo is where you confirm the second one.

What the page says about location tracking

Workers type "does Paychex track your location" too, so here is what the public page supports. Geolocation is listed as a capability of the Paychex Flex Time module, so the module can capture location. When it captures location, at the punch only or also between punches while you are clocked in, is a question for the rep. If you are the worker, the person to ask is the office, and the office should ask Paychex.

For comparison, Clox reads location only at the moment of the punch. There is no tracking between punches, no breadcrumb trail, and no live map of people.

Questions to ask Paychex before you rely on it

Take this list into the demo and ask for each answer on screen.

1. When a worker punches from outside the geofence in the Paychex Flex app, does the punch go through? If it does, where does a manager see it?
2. Which package or add-on includes geofencing, and is it priced separately from Paychex Flex Time?
3. What radius can we set, what is the default, and can each job site have its own radius?
4. Can geofencing be turned on for field workers only and left off for office staff?
5. Does the app read location only at the punch, or at other times while a worker is clocked in?
6. What does a worker outside the fence see on the phone before and after they tap the punch?
7. Does a punch made with no signal still go through, and does the location check run on it?

How Clox handles the same problem

Clox is a time clock built for field crews, and the same seven questions have short answers.

The off-site punch is blocked. Each worksite in Clox has a name, a GPS coordinate, and a radius that defaults to 200 meters; the docs say to start generous and tighten later. A worker with geofencing turned on who taps clock in outside every worksite assigned to them sees a message to get on site, and the punch does not go through. Geofencing is switched on person by person from the Team page rather than for the whole company, so office staff can clock in from anywhere. Location is read at the punch and at no other time. When the manager approves the week, each pending shift with a clock-in location carries a Map link and a readout such as "Off the worksite, 310 m from Main St job." There is nothing about where the worker went after that, because nothing was recorded. A punch made with no signal queues on the phone and goes through when the connection returns.

For indoor and multi-floor sites where GPS drifts, a second, independent check requires the phone to be on the site's WiFi network at clock-in. You can use the GPS radius, the WiFi check, or both. Everything is on the one plan, with no add-on for geofencing and nothing tier-gated: $29 a month covers the first 3 users and each additional user is $6 a month.

One caution applies to every vendor, Clox included. Location comes from the worker's phone, and a phone's location can be faked, so a geofence deters off-site punches without proving where anyone was. Clox punch records are signed and hash-chained, which proves the record has not been changed since capture and says nothing about whether the GPS reading inside it was true.

Keeping Paychex Flex for payroll and using a field time clock

You can keep Paychex for payroll and put a field time clock in front of it. Clox exports a Paychex Flex CSV that matches each worker by Payroll ID, never by name. Select Paychex under Settings, then Integrations, then Payroll, and the format appears in the Export menu on Reports. Set the Payroll ID on each employee once from the Team page, approve the week, export from Reports, and import the file into Paychex Flex. It is a file you upload each pay period, and nothing in Paychex changes until you do.
